  1. Who we are

AIMA Technologies, operated by Victor Manuel Torres Roldán in Puebla, Mexico, provides a WhatsApp appointment assistant for medical practices in Mexico. Contact: niloco.offi@gmail.com.

  2. Information we process

    • Doctors and practices: name, email, phone and billing details. With their authorization, the events in their Google Calendar (date, time, title and description) and the Google Sheet the assistant creates in their Drive.
    • Patients who message the assistant: name, WhatsApp number or Telegram user, the messages, voice notes, photos or files they send, and their appointment details (date, time and reason for the visit).
    • People who request a demo on this site: name, specialty, WhatsApp, email, city and their message.
  3. How we use it

    • To schedule, reschedule, cancel and remind appointments.
    • To answer questions with information approved by the practice and forward the rest to the doctor.
    • To notify the doctor and keep the practice's record of appointments, payments and attendance.
    • To contact people who request a demo.
    • To provide technical support and keep the service running.

We do not sell data and do not use it for advertising.

  4. Google user data

AIMA Technologies' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

    • Google Calendar (auth/calendar): we read the doctor's events to find free time slots, and create, move or cancel the appointments booked through the assistant.
    • Google Drive, files created by the app only (auth/drive.file): we create and update the practice's sheet. We cannot see any other file.
    • We use this data only to provide the service to the practice that authorized it. We do not transfer it to third parties except the providers needed to run the service, when required by law, or with the doctor's consent.
    • We do not use Google user data for advertising, and we do not use it to develop, improve or train generalized AI or machine learning models.
    • No person reads this data unless the doctor allows it, it is needed for security purposes, or the law requires it.

Doctors can revoke access at any time at myaccount.google.com/permissions.

  5. Service providers

Make (workflow automation), Kapso and Meta (WhatsApp), Telegram (messaging), Google (Calendar, Drive and Sheets), Anthropic (the AI model that interprets messages), OpenAI (voice note transcription) and Netlify (this website and its demo form) process data on our behalf to run the service.

  6. Retention and deletion

We keep data while the practice uses the service. Old conversations are summarized or archived automatically. When a practice ends the service or asks us to, we delete its data and the stored Google access, except what the law requires us to keep.

  7. Security

We use encrypted connections, restricted access to the service accounts and keys that are never shared.

  8. Your rights

You can request access, correction or deletion of your data, or withdraw your consent, by writing to niloco.offi@gmail.com. We answer within 20 business days.
